How to configure an event, add participants, set up secret and open voting, launch a video conference and finish the meeting with a PDF report. Step by step, from a new account to a ready event.

From an empty account to a ready general meeting in less than an hour.

This guide walks you through every stage: from registration, through configuring secret and open votes and inviting participants, to launching the event and downloading the PDF report.

If you are here before your first general meeting or supervisory board meeting, you are in the right place. Wyborek is built so that any organization, regardless of its experience with digital tools, can independently configure and run formal online voting.

In this article, you will go through every step from scratch: from creating an account, through adding participants and configuring votes, to launching the event and downloading the report. No shortcuts: we explain everything clearly so you know not only what to click, but why.

PRO TIP


Before you configure your first real event, create a test event (type: Test in the CRM panel). You can safely click around, vote and check the participant view without consequences. We recommend it: those 10 minutes can save stress on the day of the actual meeting.

Step 1. Create an account and configure your organization

Start with admin.wyborek.pl - this is your CRM panel where you manage everything. Participants never log in here. You create an account, choose a plan (Free is enough for the first test), and you can start immediately.

After registration, you will be asked for the organization name. Use the full name: it will be visible to participants in invitations and in the PWA app during voting. It is worth getting this right from the start.

WHAT IS CRM AND WHAT IS PWA?


Wyborek consists of two applications. CRM (admin.wyborek.pl) is your panel. Only you and your team work there. PWA is the participant application. Participants open it on a phone or computer after clicking the invitation link. They do not need to install anything from an app store.

Step 2. Create an event

In the side menu, click "New event". This is your main container: all votes, agenda items, participants and additional services belong to it. Without an event, there is nowhere to add anything.

    Event type

    Choose between Standard, With shares and Test. For general meetings of joint-stock companies or cooperative banks where votes are weighted by the number of shares, choose "With shares". In other cases, "Standard" is enough. The test type is a sandbox: results do not count and the event is not billed.

    Access dates vs voting dates

    This is a common source of confusion. The access date is when a participant can enter the PWA app and view the agenda and attached files. The voting date is when they can actually cast votes. You can make materials available the day before and start voting at a specific meeting time.

    Name and description

    The name appears in the email invitation and on the welcome screen in the PWA. It should be clear, for example "General Meeting of Members 2026" instead of "GM". The description is optional, but worth filling in if you want to give participants introductory information.

NOTE


An event with shares costs PLN 100 to launch as a one-time fee. If you are configuring it for testing, use the Test type: no fee will be charged.

Step 3. Add votes and questions

A vote is a set of questions. One event can contain multiple votes: for example, you can divide them into "Reporting resolutions", "Board elections" and "Other motions". Each vote is configured independently.

Remember that 1 vote equals 1 participant answer to a question: this is the billing unit in Wyborek. If you have 50 participants and 10 questions in a vote, that is 500 votes from your monthly pool.

Secret or open?

Secret mode means that, as the organizer, you only see aggregated results, without information about who voted how. Individual vote data does not go to the CRM panel or the PDF report. This is guaranteed by the system architecture; it is not just a setting you can change later.

Voting secrecy in Wyborek is guaranteed architecturally: individual vote data does not go to the frontend or reports. It cannot be disclosed later.

Step 4. Participants

In the Participants section, you add the people who will take part in voting. You can do this manually, one by one, or by importing a CSV file. Each participant receives a role:

  • Regular participant: votes, views the agenda and files
  • Observer: sees everything but cannot vote, useful for auditors, lawyers and guests
  • Proxy: votes on behalf of one or more people

Authorization methods

Open mode lets you see the full overview: who voted and how. Use it when required by regulations or law, for example named voting in some types of meetings.

Two additional launch modes are Automatic, where voting starts at the scheduled time without your action, and Manual, where you decide when to press "Start", useful when a meeting starts late.
